We are the controller of the personal information described in this policy, and we are registered with the Information Commissioner’s Office under registration number ZC010459.

Information we collect

  • When you contact us: your name, email address, organisation and whatever you choose to tell us in your message.
  • When you are a client: the names and work contact details of the people we deal with, and business details needed to provide and bill the service.
  • In compliance records: documents you or your contractors send us may include the names, signatures and work contact details of staff and contractors.

We do not ask for information about residents, patients or tenants. If a document containing such information reaches us, we remove it.

How we use it

  • To reply to enquiries, on the basis of our legitimate interest in doing so.
  • To provide our service to clients, on the basis of our contract with them.
  • To keep business and accounting records, as the law requires.

We do not sell personal information or use it for advertising.

Records we handle for clients

Where we handle compliance records on a client’s behalf, the client remains the controller of any personal information in those records and we act as their processor, under a written agreement.

Who we share it with

We use a small number of service providers to run our business, such as website hosting, email and business software. They may process information on our instructions and under contracts that protect it. Where a provider processes information outside the United Kingdom, we rely on safeguards recognised under UK data protection law.

How long we keep it

We keep enquiries for up to twelve months if they do not lead to a contract. We keep client information for the length of the contract and for up to six years afterwards, for legal and accounting reasons.
